Executive Assistant to CEO

JOB SUMMARY:

Under the general direction and guidance of the President & CEO, the Executive Assistant provides comprehensive strategic and administrative support.  The Executive Assistant provides the President & CEO direct assistance with a variety of tasks which requires, but is not limited to:  1) strong administrative skills, 2) the ability to take initiative, 3) a highly professional demeanor, 4) the ability to effectively interact with all team members/management, including board members and donors, 5) handling confidential information with discretion, and 6) communications with senior staff, volunteers, community leaders, and partners.  

 

ESSENTIAL FUNCTIONS:

  • Plan, schedule, and organize President & CEO’s Outlook calendar and related business activities.
  • Manage and plan travel for the President & CEO and key volunteers, including all related arrangements and coordination of accommodations for out-of-town conferences.
  • Operate with a high degree of independent judgment to minimize the need for the President & CEO to become mired in administrative detail, including design and implementation of office procedures to increase efficiency and productivity.
  • Compose and prepare correspondence and other written materials, as well as screening and routing mail.
  • Identify issues/concerns and recommend or implement solutions on an organizational basis.
  • Represent the office of the President & CEO in external and internal meetings when necessary.
  • Manage flow of information through the office of the President & CEO, while maintaining corporate and other confidential files.
  • Act as liaison between the President & CEO, public, and other organizational personnel.
  • Develop Corporate Board and Executive Committee agendas in collaboration with the Executive Team.
  • Lead compilation of materials for Board, Executive Committee, and Nominating Committee meetings, and other groups in collaboration with the Executive Team.
  • Work with Development Department to schedule CEO Visits related to fundraising campaigns.
  • Schedule, arrange and attend various Board and Committee meetings; provide logistical support, preparation and distribution of materials, take meeting notes, and follow-up when necessary.
  • Maintain effective and professional relationships with the Board, top community leaders, key staff, and volunteers; oversee transition and orientation of new Board members.
  • Demonstrate ability to initiate and perform effective research and follow-up on a wide range of administrative and organizational tasks.
  • Answer and screen telephone calls; answer and direct inquiries as needed.
  • Other duties and responsibilities as assigned.

 

QUALIFICATIONS:

  • Minimum 10 years related experience as an Executive Assistant to a Chief Executive Officer, Chief Operations Officer, or equivalent is essential.  Strong interest in policy issues related to economic stability, education, and basic needs a plus.
  • Should possess excellent communication skills, both verbal and written, as well as the ability to communicate effectively and tactfully with all levels of the organization in a professional manner.
  • Must possess a flexible, self-starting, service-oriented attitude to changing priorities with excellent time management and follow through.
  • Must have excellent relationship building, strong organizational, and follow up skills, with a high level of detail-orientation.
  • Must be able to work independently, exercise initiative, independent good judgment, flexibility, discretion, and solid decision making.
  • Must be able to successfully manage multiple priorities, organize, and schedule work effectively in a fast-paced, deadline driven environment; remaining calm under pressure while meeting deadlines and maintaining accuracy.
  • Intermediate knowledge of, and proficiency in, Microsoft Office (Excel, Work, Outlook, and PowerPoint) is essential.
  • Should have solid research and internet search skills as well as knowledge of statistical software and analysis.
  • Bachelor’s degree or equivalent experience is required.
